Question 1

What is ProjectEstimatePro?

Accepted Answer

ProjectEstimatePro is a cloud-based platform that converts PDF insurance estimates into editable Xactimate ESX or Symbility XML files, complete with floor plan sketches. Upload a PDF claim estimate, and we extract room dimensions, line items, and pricing into a ready-to-import file with full sketch data. We support both Xactimate and Symbility export formats.

Question 2

Who is ProjectEstimatePro designed for?

Accepted Answer

Insurance adjusters, restoration contractors, public adjusters, and estimating professionals who work with Xactimate or Symbility. Whether you need to convert a PDF into an ESX file, move an estimate between Xactimate and Symbility, or just need a fast way to get sketch-ready data into your estimating software, ProjectEstimatePro is built for you.

Question 3

Do I need Xactimate installed to use ProjectEstimatePro?

Accepted Answer

No. ProjectEstimatePro generates standard ESX files that you can import into any version of Xactimate (desktop or online). You don't need Xactimate running to create the file, only to open the final output.

Question 4

Does the output include floor plan sketches?

Accepted Answer

Yes. Every conversion includes a full floor plan sketch with walls, rooms, and openings built directly from your PDF dimensions. The sketch imports into Xactimate's Sketch tab so your measurements are ready to go from day one, no manual drawing required.

Question 5

Do you support Symbility as well?

Accepted Answer

We currently support converting PDFs into Xactimate ESX format, and we're actively building Symbility import/export so you can move estimates between platforms. The same floor plan sketch and line item extraction will be available for Symbility users soon.

Question 6

How accurate is the PDF to ESX conversion?

Accepted Answer

Our system achieves 90-95% accuracy on well-formatted PDF estimates. Room dimensions, line item codes, quantities, and pricing are all extracted along with a complete floor plan sketch. We recommend a quick review of the output before submitting to a carrier.

Question 7

Is there a free trial?

Accepted Answer

Yes, your first conversion is free with no credit card required. After that, pay-per-use and monthly subscription plans are available.

Question 8

What is an ESX file?

Accepted Answer

An ESX file is Xactimate's native project file format. It contains estimate data (line items, pricing, quantities), room sketches, photos, and metadata in a compressed XML package. ESX files can be imported directly into Xactimate desktop or online.

Question 9

Which Xactimate versions support ESX import?

Accepted Answer

ESX files work with Xactimate 28 (desktop), Xactimate X1 (desktop), and Xactimate Online. The format is backward-compatible, so files generated by ProjectEstimatePro will import into any current version.

Question 10

Does the ESX file include floor plan sketches?

Accepted Answer

Yes. Every ESX file we generate includes a complete floor plan sketch with walls, rooms, and openings. The sketch appears in Xactimate's Sketch tab after import, so all your room measurements and areas are calculated automatically.

Question 11

Can I edit the estimate before exporting?

Accepted Answer

Absolutely. After upload and extraction, you see a full review screen where you can adjust room dimensions, add or remove line items, change quantities, and modify pricing. You can also preview and edit the floor plan sketch before generating the final ESX file.

Question 12

Can I convert between Xactimate and Symbility?

Accepted Answer

Yes, that's on our roadmap and actively in development. We're building tools to convert estimates between Xactimate (ESX) and Symbility formats in both directions, with the same floor plan sketch and line item fidelity you get from our PDF conversions.

Question 13

What price list does the output use?

Accepted Answer

By default, we use the Georgia JAN 2024 price list (GAAT8X). Custom price list support for other states is on our roadmap. The line item codes and selectors remain standard across all Xactimate price lists.

Question 14

How much does it cost?

Accepted Answer

We offer pay-per-use pricing at $12 per conversion, or a Pro subscription at $49/month for unlimited conversions. Team plans with shared billing and member management are also available. Your first conversion is always free.

Question 15

What payment methods do you accept?

Accepted Answer

We accept all major credit and debit cards (Visa, Mastercard, American Express, Discover) through our secure Stripe integration. All payments are processed with PCI-compliant encryption.

Question 16

Can I get a refund?

Accepted Answer

If a conversion fails or produces unusable output due to a system error, we'll credit your account automatically. For subscription refunds, contact support within 7 days of billing. We don't offer refunds for successfully completed conversions.

Question 17

Do you offer team or enterprise pricing?

Accepted Answer

Yes. Our Team plan lets you add multiple users under one billing account. Enterprise pricing with volume discounts, SSO, and dedicated support is available. Contact us at support@projectestimatepro.com.

Question 18

Is my data secure?

Accepted Answer

Yes. Files are encrypted in transit (TLS 1.3) and at rest (AES-256). We process on Google Cloud Platform with SOC 2–compliant infrastructure. Uploaded PDFs are automatically deleted 30 days after processing.

Question 19

What PDF formats are supported?

Accepted Answer

We support any standard PDF file. Best results come from digitally-generated PDFs (from Xactimate, Symbility, or other estimating software). Scanned/photo PDFs work too but may have slightly lower accuracy on handwritten content.

Question 20

Is there a file size limit?

Accepted Answer

Individual PDFs can be up to 100 MB. Most insurance estimates are well under 10 MB. If you have larger files (e.g., with many embedded photos), consider splitting them or contact support.

Question 21

Do you have an API?

Accepted Answer

An API for batch processing is on our roadmap. Currently, the web interface is the primary way to convert files. If you need high-volume automated processing, reach out and we can discuss early API access.
